OFFICE MANAGER & EXECUTIVE ASSISTANT

Available starting June 2022

Part-time (30 hours per week)
Salary with benefits, including: medical, dental, PTO, 401K, snacks

Position Summary

The Office Manager and Executive Assistant position is an integral part of our Common Ground team. Responsible for the organization and management of the office, this position also includes the important task of assisting the CEO with special projects and basic administrative tasks.

Office Manager
Reports to Operations Manager, and includes task that include but are not limited to:

  • Responsible for all administrative tasks including supply management, subscriptions, mail organization and management of company files unrelated to company finances.
  • Works with Operations Manager and COO to develop SOP strategy for the company
  • Assists with bi-weekly payroll submission and general HR admin
  • Assists with tracking and set up of company tech, onboarding new employees with company email and other communication accounts.
  • Communicates with the Office Custodian regarding supply lists and weekly schedule
  • Creates and monitors budget for Office Supplies
  • Takes meeting minutes/notes at weekly team meetings
  • Answers office phone, forwards messages for team members

Executive Assistant
Reports to CEO and includes tasks that include but are not limited to:

  • Schedules meetings
  • Arranges travel
  • Records meeting notes
  • Helps to facilitate in-person meetings
  • Research and special projects as requested

Other Responsibilities

  • Acts as a knowledgeable and collaborative representative of Common Ground in the community
  • Collaborates with other staff members to ensure effective outcomes
  • Performs other tasks as assigned

Position Requirements:
  • Bachelor's degree preferred
  • 3+ years experience in related position
  • Excellent verbal and written communication skills
  • Exercise discretion when managing sensitive, confidential material
  • Project management experience
  • Excellent computer skills and familiarity operating on various platforms (i.e.Microsoft Of fice, Google Workspace, Slack, Asana, Monday)
  • Comfortable working in a startup environment
  • Works under regular office conditions with the ability to occasionally work remotely. Primary residence must be on Kaua’i
  • General office hours are Monday through Friday, 9:00 am to 5:00 pm with flexible hours as needed
  • Ability to operate general office equipment including computer, copier, printers, etc.
  • Ability to lift, carry, push, pull, up to 25 lbs. of general office material or equipment
  • Valid driver's license

BOOKKEEPER

Available starting June, 2022

Full-time (40 hours per week)

Position Summary

The Bookkeeper position is an integral part of our Common Ground team.
Responsible for the organization and management of the office, this position also includes the important task of assisting the CEO with special projects and basic administrative tasks.

Reports to Chief Financial Officer, and includes task that include but are not limited to:

  • Reconciliation of Accounts and Vendor statements;
  • Complex Construction and Fund Accounting
  • Manage Accounts Payable and Accounts Receivable activities for projects;
  • Enter contracts and cost breakdowns for projects;
  • Track project budgets, process project change orders; alterations to the budget
  • Provide for job costing for various projects, and new ones as they arise ;
  • Provide periodic reporting for management

Other Responsibilities

  • Acts as a knowledgeable and collaborative representative of Common Ground in the community
  • Collaborates with other staff members to ensure effective outcomes
  • Performs other tasks as assigned
Position Requirements:
  • Bachelor's degree preferred
  • 5+ years experience in related position
  • Outstanding organizational and time management skills
  • Excellent verbal and written communication skills
  • Proficient in Quickbooks Desktop
  • MS Office proficiency
  • Technical proficiencies with PC and Apple products
  • Exercise discretion when managing sensitive, confidential material
  • Excellent computer skills and familiarity operating on various platforms (i.e. Microsoft Office, Google Workspace, Slack, Asana, Monday)
  • Comfortable working in a startup environment
